Please note that in addition to the responsibilities listed below all officers, committee chairs and/or a co-chair are expected to attend registration (to inform parents of their committee's work as well as to solicit volunteers) and the monthly Home and School meetings (the first Wednesday of the month at 7:00pm. at the school). Also, all volunteers must be on file as having completed the archdiocese "Safe Child" program.
Several terms of office include one year In-training (working with the current Chair).
President: (1 yr) Act as a liaison between the H&S Association, administration, faculty and parish. Meet monthly (or as needed) with the principal to discuss H&S issues and schedule H&S events. Attend all Back to School Nights (including ELC) and speak about the role and goals of Home & School. Send a letter to all families early in the school year summarizing the H&S goals for the year. Arrange for and distribute teacher and staff Christmas gifts. Work with Committee Chairs as required. Prepare agenda for the monthly meetings and facilitate those meetings. Encourage participation in and attend all school sponsored events and fundraisers. Communicate and work with the VP to insure a smooth transition from VP to President. Approx. time commitment = 60-80 hrs/yr.
Vice President: (2 yrs) Assist the President as requested. Responsible for communicating Home and Schools mission at the Stewardship Fair in August (and coordinating volunteers to "man" the H&S table at the fair). Purchase and hand out teacher birthday gifts/cards throughout the year. Attend the Educational Advisory Council meetings (2nd Wednesday of the month?) and report back to H&S. Coordinate all aspects of the Archdiocese Teacher Appreciation Banquet including reservations, wine order, decorations and/or centerpiece and Teacher "Years of Service" gifts. Also update "Years of Service" plaque in school office as required. Post board position openings in Feb and actively recruit for them. Act as President if the President is unavailable at the H&S meeting or other functions. Attend executive board meetings when called. Automatically assumes the role of President of the Board after one year as vice president. Approx. time commitment= 40-60hrs/yr
Treasurer: (2 yrs) Maintain all H&S checking/savings accounts. Deposit funds promptly and keep accurate, organized records. Balance bank statements upon receipt. Pay bills promptly. Issue reimbursement checks at least once/month. Prepare a monthly financial report to present to the board at monthly meetings. Attend executive board meetings when called. Attend finance committee meetings once a quarter (act as a liaison between this committee and H&S). Approx. time commitment = 60-80 hrs/yr
Recording Secretary: (2 yrs) Take, type, make paper copy and post minutes (on website) of all monthly H&S Board meetings. Attend executive board meetings when called and take minutes. File copies of minutes/budgets in the H&S binder. Maintain a current constitution and by-laws. Act as a liaison between the H&S board and the Parish Council by attending Parish Council Meetings (the second Tuesday of the month at 7:00pm at school) and reporting back to H&S. Approx. time commitment = 35-40hrs/yr
Corresponding Secretary: (2 yrs) Responsible for written correspondence between the H&S association and second parties such as parents, businesses, faculty etc (including Thank-you's, get well cards, sympathy cards, Mass cards and sending flowers/plant if appropriate). Decorate and maintain the H&S bulletin board located just inside the main school entrance. Take notes at H&S meetings if recording secretary cannot attend. Attend executive board meetings when called. Approx. time commitment = 20-25hrs/yr
Committee Chair Positions
Athletic Director: (5 yrs) Responsible for all aspects of the extra-curricular sports programs for grades 4-8 at All Souls. (See H&S president for a detailed description). This position is filled by appointment by the principal.
Athletic Assistant Director: (5 yrs) Assist the athletic director with responsibilities of coordinating the sports programs. See H&S President for a detailed description. This position is filled by appointment by the principal.
Booster:(school store) (2 yrs) Responsible for raising funds through the sale of school apparel and supplies. Organize and train volunteers to staff the Booster Store (Hours are 7:45-8:15 and 2:30-3:00 daily). Maintain stock throughout the year and re-order/purchase inventory when necessary. Check teacher supply lists in May to verify, grade by grade, all items listed are in stock at the beginning of the year. Open and staff the Booster store for sales on New Student/Kindergarten Orientation day and Registration Day. Maintain simple bookkeeping for the treasurer and frequently turn in cash. Optional: coordinate the sale of school supply packets at the end of the school year for the next school year. Approx time commitment = 40-50 hrs/yr
Catholic Schools Week: (3 yrs) Organize all activities and programs associated with Catholic Schools Week. Meet with the principal to coordinate dates and other details. Work with Grandparents Day Coordinator and Teacher Luncheon Chairs if necessary. (Activities: Sun-Open House refreshments, Mon- Grandparents Day, Thurs- Teacher Appreciation, Fri-Student Appreciation). Approx. time commitment = 25 hrs/yr
Early Learning Center Chair: (2 yrs) Responsible for coordinating and communicating all Home and School activities at the preschool including the fund raisers (Auction and raffle), family fun nights, Donuts with Mom and Dad and the vision screening. Attend the Preschool "Back to School Night" and have sign-up sheets for Home and School event volunteers (Auction, Raffle, Health and Safety vision screening, social events etc.). Approx. time commitment = 15-20 hrs/yr
Grocery Certificates: (2 yrs) Coordinate all aspects of our King Soopers grocery certificate fund raising program including marketing the program, taking orders for, purchasing and distributing certificates (in school and through the Parish office) , keeping all necessary financial records and communicating with treasurer . Approx. time commitment = 40 hrs/yr
Health and Safety: (3 yrs) Collect health forms (immunization and physicals) at registration. Review files of all new students at beginning of school year. (Each student must have current history and physical within last 2 years and an up-to-date immunization record based on current state of Colorado regulations). Responsible for checking that student athletes have M.D.'s permission to participate in sports. Coordinate and run vision screening for selected grades including ELC (dates and location determined by the principal). Responsible for organizing CPR and first aid certification and/or recertification for the faculty and staff. Approx. time commitment = 4 hrs/wk till 11/1, then 1 hr week
Hospitality: (2 yrs) Responsible for providing doughnuts and coffee at registration, arrange a teacher luncheon on the first day of conferences, sell soda on the evening of Worlds Fair, and provide breakfast and lunch to teachers and critics when All Souls hosts a Speech meet. Approx. time commitment = 25hrs/yr
Jr. Great Books: (3 yrs) Provide teachers with program requirements then invite children from approved list, maintain the inventory of books (purchase new, replace lost etc) and attend Archdiocese Jr. Great Books meetings. Responsible for recruiting volunteers to be leaders in the Jr. Great Books program, coordinate their training, handle registration of participants, collect fee's and purchase books as required. Approx. time commitment = 50-75 hrs/yr (depending if you are also a group leader)
Library: (2 yrs) Assist librarians as required (specific duties to be determined)
Lunchroom: (2 yr) Prepare sign-up sheets to recruit volunteers at registration to coordinate parent supervision of the cafeteria and playground during lunch hours. Create volunteer spreadsheet and provide the weekly list of volunteers to the school office for inclusion in the weekly newsletter. Assign callers to make reminder calls to all volunteers each week. Hold a parent meeting with-in the first week of school to "train" volunteers. Act as a liason with volunteers throughout the year to communicate changes that occur throughout the year; rearrange schedules if conflicts occur; and provide substitution list. Approx. time commitment = 20-25 hrs/yr
Public Policy: (2 yrs) Act as a liaison between the school and Archdiocese regarding "political" issues of concern to the archdiocese. Attend meetings requested by the archdiocese and respond in a timely manner to any inquiries. Report to the educational advisory council and Home & School. Approx. time commitment = 15-20 hrs/yr
Raffle: (2 yrs) Coordinate all aspects of the raffle including printing tickets, arrange the raffle "kickoff", organize volunteers to distribute and collect raffle tickets, handle funds, coordinate the student incentive program for selling tickets etc. Approx. time commitment = 30 hrs/yr
Room Parents K-5: (2 yrs) Prepare sign-up sheets to enlist room parents/helpers for each class at registration. Choose a Head parent for each class (recruit if necessary). Hold a general info meeting (with 6-8 coordinator) for all room parents to outline all three parties (Halloween, Happy Birthday Jesus and Valentines or Mardi Gras) in late September. Purchase paper supplies(coordinate with 6-8 room mom chair) for all parties. Communicate all relevant information to room parents prior to each party. Assist the first grade room moms in organizing the Reconciliation and First Communion receptions. Approx. time commitment =20-25hrs/yr
Room Parents 6gr.-8gr: (2 yrs) Prepare sign-up sheets to enlist room parents/helpers for each class at registration. Choose a Head parent for each class (recruit if necessary). Hold a general info meeting (with K-5 coordinator) for all room parents to outline all three parties (Halloween, Happy Birthday Jesus and Valentines or Mardi Gras) in late September. Purchase paper supplies(coordinate with K-5 room mom chair) for all parties. Communicate all relevant information to room parents prior to each party. Assist the seventh grade room moms in organizing the 8th grade graduation party. Approx. time commitment = 20-25hrs/yr
Silent Auction Chair: (3 yrs) Oversee all committee's within the auction. Be the main point of contact with the principal at all stages of the auction. May also be responsible for one of the following co-chair positions. Approx. time commitment =60-80 hrs/yr (largely Aug-Oct.)
Silent Auction Co-chair, Acquisitions/Program- Develop and work with a committee to acquire small and large acquisitions. Collect all acquisitions, handle donor forms, coordinate thank-you's. Handle all "cataloging" responsibilities for each acquisition and print the program. Work with computer check-out volunteers. Approx. time commitment = 60-80 hr/yr
Silent Auction Co-chair, Decorations- organize a committee to create the "atmosphere" for the auction based on the selected theme. Decorate the gym including tables, auction entrance, classrooms and hallways. Purchase and/or solicit all materials required. Approx. time commitment = 20 hrs/yr.
Silent Auction Co-chair, Catering/Bar- Hire caterer for dinner, coordinate bar, secure liquor license for the event. Approx. time commitment =15-20 hrs/yr.
Silent Auction Co-chair, Marketing/Ticket Sales/Reservations- Handle communications for the entire event, ticket sales and table reservations. Approx. time commitment =20-30 hrs/yr
Silent Auction Co-chair, Classroom projects/Baskets: Determine class projects for each grade level, purchase supplies and help coordinate making the projects. Determine grade level basket themes, organize volunteers from each class to collect basket items and keep track of their value. Purchase and/or solicit supplies (baskets/ribbon/filler etc). Organize a day to put together baskets. Approx. time commitment = 30-40hrs/yr
Social:(2 yrs) Organize "Host families" (veteran families) to welcome our new families into the All Souls community at least 1 month prior to the school year (obtain list of new families from office). Co-ordinate all aspects of the "New Family Potluck" dinner held a few days before the start of school. Create and coordinate all aspects (communication, reservations, collecting fee's, etc.) of various social functions for the entire school community (EX: Donuts with Dad, Morning with Mom, Mother-Son Dance, Father-Daughter Dance, Family Game Night, Family Pizza Night etc.) Approx. time commitment = 30-40 hrs/yr
Teacher Luncheon: (2 yrs) Provide lunch to the school staff four times per year. Plan "themes", organize specific grades to supply food and/or help, purchase all paper supplies and supply table decorations. Approx. time commitment = 30-40 hrs/yr
Uniform Exchange (2 yrs) Coordinate used uniform exchange/sale at New Family Open House, Registration Day and in the spring. Give all donations to Principal for "Teachers Fund". Maintain the closet and storage bins holding all donated uniforms. Approx. time commitment = 25hrs/yr
